SECRETARY | Independent Living Program


**$1000 Sign on Bonus**


Job Summary:

The Secretary position provides fiscal and clerical support for the Independent Living Program in Erie County.


Essential Functions of the Position:

1. Manage petty cash and other bookkeeping in coordination with the Supervisors and Bethesda’s Finance Office policies and procedures.

2. Aid in the fulfillment of program responsibilities in relation to regulations, funding and grants, particularly the stipend request/check process.

3. Create and maintain program databases, as well as, assist with necessary paperwork for internal recordkeeping of client status (i.e. opening, closing, change of address, and other related activities)

4. Maintain agency records and files in an orderly manner which provides easy accessibility and ensures confidentiality of all documents.

5. Prepare correspondence, meeting notes, group account statements, and fiscal reports utilizing current computer software and equipment.

6. Greet and assist program participants, staff, visitors and the general public ensuring a positive experience.

7. Maintain multi-line phone system, transferring calls, taking messages and assisting callers in a professional manner.

8. Provide office organization including filing, management of supplies and general appearance of the office area.

9. Sort and distribute mail on a daily basis.

10. Represent program at functions and in the community.


Professional Responsibilities:

1. Understand and fulfill job duties within the scope of the mission statement.

2. Adhere to the policies and procedures of the agency.

3. Maintain professional relationships with agency personnel, clients, and

outside agencies. 

4. Meet with supervisor biweekly for one-on-one supervision.

5. Act as a positive role model for clients by maintaining a professional demeanor and ethical behavior at all times.

6. Fulfill training requirements as outlined in the Staff Development policy and as required by the supervisor and/or the program. 

7. Protect the confidentiality of all client and staff information.


Required Knowledge, Skill, and Abilities:

1. Proficient typing skills and substantial knowledge of current computer software programs and equipment including Microsoft Excel and Word.

2. Ability to communicate effectively verbally and in writing with a professional tone and demeanor.

3. Basic recordkeeping knowledge.

4. Ability to interact in a positive manner with a varied population of socioeconomic levels and mental/emotional abilities.

5. Ability to work independently with strong organizational skills. .


Required Education, Experience, and Clearances:

1. High school diploma/GED is required.

2. Experience in a professional office environment required.

3. FBI, Child Abuse History, PA State Police, and Driver Clearances. Other clearances may be required dependent on residency status. 


Salary:

  • $15-$16 per Hour Plus Benefits
